Most of an office move happens on paper. Whether it's a suite in one of the city's business parks or a one-room studio, we learn what both buildings require, agree on a window outside your business hours and tag every desk and cabinet for its new spot. That way the crew's time goes into carrying rather than deciding.

Pricing is hourly, set by crew size and the day of the week, and wrapping, disassembly and reassembly are already in the rate. For business relocations we suggest reserving 4-6 weeks ahead, which leaves time for insurance certificates, elevator or door bookings and a seating plan for the new space.

Parking near commercial frontage

The city's street sweeping covers San Clemente's commercial, industrial and arterial streets, plus parking lots and medians, once to three times a week. An office move keeps a truck parked for hours, sometimes over several days, so a sweep can easily land inside the work window.

Before the date we read the posted sweeping times for the exact stretch of curb or lot where the truck will stand and set the start around them. If the building's own lot works better, we ask the manager which spaces the truck may use and for how long. If the curb turns out to need a permit, we tell you which section the truck has to have.

Building rules, confirmed with managers

Business parks and office buildings set their own move rules, and we don't guess at them. Before offering a date, we put the same questions to the property manager at each end: is a certificate of insurance required, and who must it name? Is there a freight elevator or loading door to reserve, which hours are open for moving, and do floors or door frames need covering?

Certificates are $50 per building, so a move between two managed properties can mean two of them. The answers go into the move plan, and the crew arrives knowing where to stage and which entrance to use.

Where the city's offices cluster

San Clemente's General Plan names several centers of office and industrial work, including Los Molinos, the Rancho San Clemente and Talega business parks, and the Camino de Estrella and Los Mares area. Because the plan groups office and industrial users together, we don't assume what kind of space an address is.

At each end we ask whether the crew loads through a lobby and elevator or straight through a ground-floor door, how far the truck will stand from that door and whether there are steps on the way. Those answers decide the crew size and most of the hours. A ground-floor unit at one end and an upstairs suite at the other move at different speeds; we staff for the slower one.

Timing and the hourly clock

Evening and weekend work keeps the business open on weekdays: the crew starts after closing and aims to have desks standing before the next opening. On a job spread over several days, we recheck the sweeping times before each start.

Time is billed by the hour at the rate for your crew size and day, with a three-hour minimum, or four hours when the job starts over 30 miles outside the service area. After eight hours in one day the rate goes to 1.5 times, so a large office may do better with a second truck at $120 per day or an extra mover at $40 an hour than with one very long shift.

Reading the Bill for a Business Move

There's no separate price list for companies. A San Clemente business move uses the same hourly rates as any other job we run, set by the number of movers with the truck and the day of the week, as shown on our moving rates page:

• Two movers: $129 an hour Monday–Thursday, $145 Friday–Sunday
• Three movers: $169 Monday–Thursday, $185 Friday–Sunday
• Four movers: $209 Monday–Thursday, $225 Friday–Sunday
• Each added mover: $40 an hour

Blankets, unlimited stretch wrap, tape and basic coverage come with the rate, and so does taking desks and tables apart and putting them back together. Fuel and stair carries add nothing to the bill. A two-mover weekday booking can't come in under $387, which is the three-hour minimum at the lowest rate.

Extras appear only when the job calls for them: $150 for each extra heavy item, $130 per item for hoisting, $75–$200 for a glass tabletop crate and $50 per building for an insurance certificate. Boxes are sold individually, from $1.25 for a book box to $6 for a large one, with dish packs at $3.50.

Getting the Office Ready Before the Crew Arrives

An office move runs as fast as the decisions made before it. Every question settled on paper is one the crew doesn't wait on, clock running, while someone decides where the copier goes.

1. Inventory. List what moves and what stays: desks, chairs, filing cabinets, shelving, printers, servers and anything that belongs to the landlord.
2. Seating map. Number every spot on the new floor plan and give each department a color or code.
3. Tags. Every piece of furniture and every box carries the number of its new spot.
4. Personal boxes. Staff pack their own desk drawers into a box marked with their seat number.

Keeping the Doors Open: Evenings, Weekends and Phases

The reason for after-hours office moving is that customers and staff barely notice it happened. A small studio may fit into one evening; a larger suite can run over a weekend or across several evenings, one department at a time.

Phasing has a price as well as a benefit. Each extra session adds another arrival and another round of loading, while a single long day risks crossing the eight-hour mark where overtime starts. We sketch both versions with estimated hours, so you can choose by budget and by opening times.

Whatever the schedule, the last evening should leave the new space usable: desks rebuilt, chairs in place, boxes stacked by the seats they belong to. Unpacking can wait for staff; a blocked hallway can't.

Furniture and Records on Moving Night

Desks and workstations that won't fit through a door in one piece are taken apart, with their parts labeled, and rebuilt at the new address. Conference tables, cabinets and shelving travel blanket-wrapped, and glass tabletops can travel in a crate.

Filing cabinets and records deserve a word with the crew lead before loading. Confidential files move in sealed boxes that stay together from the truck to the room they're assigned to, and nobody outside your staff needs to open them.

On the night itself, the crew needs one person from your side with keys or access cards for both buildings. A printed copy of the seating map taped inside the new entrance saves more time than any amount of explaining.
